We don’t do anything weird with your personal data — but it’s important you know exactly what we do do. So here’s a rundown, in plain English.
Who even are we?
We are Wavemedia (SW) Ltd, a marketing and data protection consultancy (Company No: 11576626). Our Registered Office is c/o KMK Accountants, 12 Hurland Road, Truro, England, TR1 2BU.
Wavemedia is owned by Amanda Williams, a Data Protection Consultant and all-round GDPR geek, who achieved a Post Grad Cert in Data Protection Law and Information Governance so you don’t have to.
We’re the “data controller” of your information, which means we decide how and why it’s used. Our ICO Registration Number is ZA235037.

What data do we collect, why, and what’s the legal basis?

We may also keep records of our work together in case of a legal dispute — that’s our legitimate interest in protecting our business.
Who do we share your data with?
We don’t sell your data. Never have done, never will.
To run the business efficiently we use trusted providers: Xero for accounting (plus our accountant), Microsoft 365 / Google for email and documents, Trello for project management, and Mailchimp for any email updates. We have contracts and data processing agreements in place with all of them. We’ll also share information with HMRC or other authorities where the law requires.
Do we transfer your data outside the UK?
Some of our providers (like Microsoft, based in the USA) store data overseas. Where they do, we make sure proper safeguards are in place, such as UK-approved standard contractual clauses or an adequacy decision. We’ve checked — it’s kind of our job.
How long are we keeping your data?
Enquiries that don’t turn into work together: we have a good spring clean of our emails every year
Clients and customers: details stay on our accounting system for 7 years (HMRC likes it that way)
Email updates: unsubscribe any time. If you do, we’ll keep your address on a suppression list so we don’t accidentally email you again
After that, we delete or anonymise your information.
Your rights
You’re in control of your personal data. You have the right to:
Access a copy of your information
Correct anything that’s wrong
Delete your information (in some circumstances)
Restrict or object to how we use it, including objecting to marketing
Receive your information in a portable format
Withdraw consent at any time, where we rely on it — we’re very easy going about this

Complaints
If you’re unhappy with how we’ve handled your data, please get in touch first so we can put it right. We’ll follow our Data Protection Complaints procedure and let you know what we find within 30 days. You also have the right to complain to the UK regulator, the Information Commissioner’s Office (ICO): ico.org.uk or 0303 123 1113.
Do you have to give us your information?
Only what we need to work together and invoice you — without it, we can’t provide our services. Everything else is entirely optional.
Automated decisions
We don’t do any automated decision-making or profiling. We won’t troll you around the internet with pictures of handbags. Pinkie promise.
